Booking Terms & Conditions

Our Role

Escape & Discover (hereafter known as E&D) arrange bookings of holiday accommodation, chalets, lodge and apartments as Agents for the owners of the property. Escape & Discover does not own any of the accommodation marketed under our jurisdiction and reserve the right to refuse any booking where in line with the owners wishes. We would respectfully ask that any person making a booking adheres strictly to the terms and conditions outlined below.

Booking Authority

The person whose name appears on the booking form certifies that he or she is authorised to agree the Booking Conditions on behalf of all persons staying at the accommodation booked, including those substituted or added at a later date. This person must be a member of the party occupying the property and must be 18 years of age or over. Bookings for single sex groups are only allowed by prior arrangement and for persons over 25 years of age. A security deposit will be required (see section below)

Guest’s Obligation

The Guest’s must agree to:

  • To permit the owners and agents reasonable access to the property to carry out any urgent maintenance, should the situation arise. Where possible, prior arrangements will be made.
  • Not to sublet or share the property, except with persons nominated and outlined on the booking form.
  • The maximum number of persons allowed at the property is clearly stated and must not exceeded. The Agent reserves the right to refuse entry to the property or terminate the hire without notice and without refund of monies.
  • Any problems encountered with the premises must be reported to E&D as soon as possible and not left until the day of departure.
  • We want our holidays to be enjoyable for all of our guests, however unruly and antisocial behaviour will not be tolerated and may result in eviction from the premises with no refund of monies.

Property Rules

All stays are at a holiday venue are owned by a 3rd party with which E&D has no association or responsibility for the provision of any services of that holiday park. Guests agree to follow the rules of that park during their stay which includes going to reception to register on arrival.

A copy of these rules is available within the property and upon request. Any issues relating to a stay at a privately owned lodge should be reported back through E&D as the park are not responsible for managing the lodge or booking for private sublet guests during their stay.

Damage Charges

When accepting a booking terms guests accept responsibility for any damage caused by any member of their party (including pets) and agree to pay in full for any costs incurred as a result. This includes the cost of damage to furniture, fittings, goods or to the property itself or loss of keys or to cover any additional cleaning over and above reasonably expected after the duration of the sale. If a claim is being made, we will invoice the Hirer and ask that they pay the amount in full. Damage deposits  may be taken in accordance with owners instructions on a property by property basis. Damage deposits will be refunded no more than 7 days after the holiday stay has ceased subject to condition.

Security Deposit

We will require a 50% security deposit at the time of booking in advance of any stay. This is 50% of the final payable amount.  This is non-fundable and will be offset against the full amount of the booking. Card details will be retained for both the security deposit and final payment. Security deposits are required without exception.  Your security deposit will be due when you make your booking.

Single Sex Groups/Groups of Young People

Single sex group bookings will only be allowed subject to each member being over the age of 25.

Mixed group bookings of young people will be allowed subject to members being over the age of 18.

No stag or hen night parties are permitted without exception.

We will request that parties leave the property if they are causing disruption to other persons within the vicinity. Should this situation arise, refunds will not be given.

Electricity & Gas

Both electricity and gas utility usage are included within the rental, however, we reserve the right to take any additional charge should the usage exceed predicted amounts for the party.

Pets

Where dogs are allowed, owners are responsible for any extra cleaning that may be required, either in the property or the grounds and any costs so incurred will be pursued as above.

We regret that we are unable to accept any other domestic animal other than dogs into our properties where dogs are allowed.

Dogs MUST NOT under any circumstances be left in the accommodation unattended or be allowed to sit or sleep on any of the furniture.

Dogs shall not cause annoyance or intimidate occupants of adjoining premises.

We are unable to accept certain breeds of dog that fall within the Dangerous Dogs Act.

Owners and their agents reserve the right to insist upon the removal of animals in the event of a breach of these conditions.

No Smoking Policy

Our properties may be subject to a non-smoking policy and guests are requested not to smoke in this instance. If the property is non-smoking and evidence is found causing the property to need to be de-odorised, then a charge of £100 will be taken.

Lost Property

Please inform us if you have left anything behind and we will endeavour to return it as soon as possible. No food or drink items will be returned or retained. If you would like us to post your item, then you will be liable for the postal charge.

Complaints Procedure

If there is a complaint, it must be reported immediately to allow us to redress the situation. We will not allow compensation or redress once the holiday has been completed. Any compensation will be proportionate to the issue arising and may take the form of discount for a future stay.

We will endeavour to resolve complaints within 7 days of receipt but on occasions we reserve the right to pass the matter back to the property owner to agree a suitable resolution.

Payment & Additional Fees

A 20% security deposit fee will be charged and will be payable at the time the booking is placed. This security deposit is payable per property. Payments can be made via our secure online booking system, by telephone or cheque made payable to Escape & Discover. Please note that there is 2.75% charge incurred on using credit cards. Bank transfers are also accepted, with payment details to be requested over the phone.

The balance of the rental should be paid 56 days (8 weeks) before the commencement of the holiday/break. Late payment without prior arrangement and discussion will be subject to interest and charges. If booking less than 8 weeks before your stay, then the whole amount will be payable upon initial booking.

Cancellation

If the Guest/Hirer wishes to cancel their booking, he/she should advise us immediately. Any cancellations should be subsequently confirmed in writing.

If only the 20% deposit charge has been paid, this will be non-refundable. Once the balance has been paid (i.e. 8 weeks prior to stay) then a refund will only be applicable if we are able to re-let the property.

If we are not able to re-let, then the owner shall be entitled to retain all payments made and top recover any outstanding fee elements.

To cover against any potential financial loss which may be incurred by cancelling a stay (in line with our cancellations policy) we recommend that all of our guests consider taking out a suitable travel insurance/cancellation policy.

Arrival & Departure

Arrival and departure times will be confirmed on a property by property basis at the time of booking.

If a property is not vacated in accordance with the timings given at time of booking, Escape & Discover reserves the right to charge for overstaying up to £50.

Non-availability of Property

If for any reason beyond the Agents control a property becomes unavailable, all rent paid in advance will be refunded, only if alternative accommodation cannot be offered.

Liability

No liability is accepted for any loss, damage, sickness or injury, howsoever cause, which may be sustained during the holiday/stay or any Hirers party or invited person, or any car and its contents. As Escape & Discover acts only as agents for the property owner, it cannot accept any liability for act(s) or omission(s) of the owner or anyone representing the owner. Compensation payments cannot apply where we cannot fill our obligations due to unforeseeable circumstances including, natural disasters, fire, health risk or any other matters beyond our control.

Property Information & Website Accuracy

Whilst every effort is made to ensure that all of our information displayed on our website is accurate, all representations are made in good faith and no such representations will create any liability on behalf of Escape & Discover.  All appliances within each property will have instruction manuals and these will be made available upon request.

Escape & Discover cannot accept any responsibility for any changes of closures to area amenities, attractions or services, offered by a third party.

If the price of a booking has clearly and obviously been recorded within the booking system in error, then we reserve the right to amend this to the correct price. We will contact the guest as soon as possible should this event arise.

Special Requests

Please let us know when you book if you’ll be celebrating something special as we would like to make sure that your plans fit in with your accommodation.

Disabled Access

Some of our properties may not be suitable for wheelchair users, people with mobility problems or the elderly. It is advisable to check with us before booking.

Hot Tubs (if applicable)

Some of our properties may have hot tub/Jacuzzi facilities. All facilities are maintained to industry standard. Facilities are used at the guests own risk and a schedule of information on using hot tubs/Jacuzzis will be provided upon placing a booking.

Data Protection

All information that Escape & Discover have collected in association with your booking will be held in confidence and will not be passed onto any other party/person without permission.

Please note that once you have received your initial booking confirmation, it is vital to notify us of any discrepancies or errors within your booking information.

The information collected will be used to contact you within further details of our current activities or to send details of future discounts and new properties. You can inform us at any time if you no longer require such information to be sent.

If you choose to provide us with your email address, you agree that we may send you any details regarding your booking. You will have the opportunity to opt out of email correspondence at any time.

We take all appropriate measures to safeguard the information we hold from unauthorised access or improper use. Only other authorised users will have access to this information.

Our website is not targeted at children but in any event, we will not knowingly collect information from children under sixteen years of age without parental consent.

Discounts

All guests who book again through E&D will receive an element of discount which is to be agreed with the property owner.

From time to time promotions and discounts will be available on certain properties within our portfolio. If you are subscribed to our mailing list, you will be notified of these promotions/discounts.
